This Privacy Policy explains how Medfiles.ai LLC (“Medfiles.ai”, “we”, “us”) collects, uses and protects personal information when you visit the AllMyFiles.ai website (the “Site”), join our waitlist or contact us.
AllMyFiles.ai is in early development. This policy covers the Site and waitlist only. The future AllMyFiles.ai product will have its own privacy terms, which we will share before you use it.
1. Information we collect
Information you give us
- Waitlist signups: your email address, whether you signed up as an individual or a professional, and your preferred language.
- Contact form: your name, email address, company (optional), topic and message.
- Optional profile (after signing up): your profession and firm size, or the kinds of documents you want to organize first (saved even if you haven’t confirmed yet).
Information collected automatically when you sign up or contact us
- Acquisition data: the campaign parameters in the link you used (such as
utm_source,utm_medium,utm_campaign,utm_term,utm_content), ad click identifiers (gclid,fbclid), the referring website, the first page you visited and the page where you signed up. - Network and approximate location: your IP address and the approximate location derived from it by our hosting provider (country, region, city, postal code, approximate coordinates, time zone), and your network (internet provider/ASN and the Cloudflare data center that served you).
- Device information: your browser’s user agent string (browser, operating system, device type), screen size, browser language settings and time zone.
Analytics and marketing cookies
We use Google Analytics to understand how visitors use the Site. Outside the EEA, UK and Switzerland it is on by default and you can turn it off at any time in Cookie settings; in those regions it only uses cookies after you accept. If you accept marketing cookies, we may use advertising tools (such as the Meta Pixel) to measure our campaigns. See our Cookie Policy.
2. How we use information
- To manage the waitlist, confirm your email address and contact you about AllMyFiles.ai as it develops and when it becomes available.
- To answer your messages.
- To understand which channels and campaigns bring people to the Site, so we can improve our outreach.
- To protect the Site against spam, fraud and abuse (for example, rate limiting and bot protection).
- To comply with legal obligations.
We do not sell your personal information, and we do not use it to make decisions that produce legal effects about you.
3. Legal bases (EEA, UK, Chile and similar laws)
We rely on your consent (waitlist emails you confirmed, analytics and marketing cookies), our legitimate interests (understanding acquisition, security, answering messages) and legal obligations. Acquisition, network and device data and the optional survey rely on legitimate interests (understanding demand and preventing abuse); analytics outside the EEA/UK/CH relies on legitimate interests, with an opt-out. You can withdraw consent at any time.
4. Service providers
We share information only with providers that help us run the Site, under contracts that limit their use of it:

We may also disclose information if required by law, or as part of a merger, acquisition or sale of assets, subject to this policy.
5. International transfers
Medfiles.ai LLC is based in the United States, and our providers may process data in other countries (Cloudflare processes requests on its global network). Where required, we rely on appropriate safeguards such as Standard Contractual Clauses.
6. Retention
- Waitlist data: until you unsubscribe or ask us to delete it, and in any case no longer than 24 months after AllMyFiles.ai launches publicly. If you don’t confirm, we send one reminder 24–48 hours after the confirmation email, and the signup is deleted automatically 30 days after our last email or your last activity.
- Optional survey answers: kept with your waitlist record.
- Contact messages: up to 24 months after our last exchange.
- IP address and approximate location: kept with your waitlist record or contact message, for the same periods as above, to analyze acquisition and prevent abuse.
- Anti-abuse (rate-limiting) records: stored as keyed one-way hashes of IP addresses and deleted automatically within 48 hours.
7. Your rights
Depending on where you live (for example under the GDPR, UK GDPR, California CCPA/CPRA or Chile’s personal data protection law), you may have the right to access, correct, delete or port your data, to object to or restrict processing, and to withdraw consent. You can unsubscribe at any time using the link in our emails. To exercise any right, email us at admin@allmyfiles.ai or use our contact form. We will respond within 30 days, and you will not be treated differently for exercising your rights. You may also complain to your local data protection authority.
California residents: we do not sell personal information. Using analytics or advertising cookies may count as “sharing” under the CCPA; you can opt out at any time in Cookie settings.
8. Security
We use industry-standard measures, including encryption in transit (HTTPS), access controls and minimal data collection. No method of transmission or storage is completely secure, but we work to protect your information.
9. Children
The Site is not directed to children under 16, and we do not knowingly collect their personal information.
10. Changes
We may update this policy. We will post the new version here and update the date above. If changes are significant, we will notify waitlist members by email.
